Zoho WhatsApp Integration: Connect WhatsApp to Zoho CRM, Desk, and Marketing Automation
Zoho is a Meta WhatsApp Business Service Provider, so the WhatsApp channel inside Zoho is official and runs on the Cloud API. But only some Zoho apps can actually broadcast to a list. Here is which is which, what it costs, and where a dedicated sender fits.
Both Zoho and WaBulkSend send through Meta's official WhatsApp Cloud API.
Which Zoho app can broadcast?
Cloud APIShort answer: Zoho has a genuine native WhatsApp channel. Zoho is itself a WhatsApp Business Service Provider, partnered with Meta, and its WhatsApp features run on Meta's WhatsApp Cloud API. You still bring your own WhatsApp Business Account: Zoho does not hand you a number. The catch most buyers miss is that the WhatsApp channel is not the same in every Zoho app. Zoho CRM gives you record-attached conversations, approved templates, and workflow-triggered messages, but it has no bulk broadcast. If you want to send one template to a whole audience from inside Zoho, that lives in Zoho Marketing Automation, Zoho SalesIQ, or Zoho Desk instead. Zoho bills WhatsApp through IM credits at 2 US dollars per credit plus a 3 percent value-added fee, with Meta's own per-message charges passed through by country and category.
Last updated July 2026. Zoho, Zoho CRM, Zoho Desk, Zoho SalesIQ, and Zoho Marketing Automation are trademarks of Zoho Corporation. WaBulkSend is built on Meta's official WhatsApp Cloud API and is not affiliated with Zoho or Meta Platforms, Inc.
Is the Zoho WhatsApp integration official?
Yes, and this matters more than it sounds. A large share of the tools marketed as "WhatsApp for your CRM" are unofficial: they drive WhatsApp Web in a browser after a QR scan, which breaks WhatsApp's terms of service and puts your number at risk of a ban. Zoho is not one of those. Zoho states plainly that it is now a WhatsApp Business Service Provider and has partnered with Meta, and its documentation describes migrating its instant messaging channel to the WhatsApp Cloud API, the same Meta-hosted platform every compliant tool uses.
Being a provider does not mean Zoho supplies the number. You bring your own. Before the channel will connect you need a Facebook Business Manager account, a verified business, and a WhatsApp Business Account with a phone number registered to the WhatsApp Business Platform. Zoho then gets added as a partner on your Meta account and sends on your behalf. Remember that registering a number to the platform removes it from the regular WhatsApp and WhatsApp Business consumer apps for good, so use a number you are willing to dedicate to it.
Everything downstream of that follows Meta's rules, not Zoho's. You can only start a conversation with an approved template. Once someone replies, you get a 24-hour window in which free-form messages are allowed. When the window closes, you are back to templates. That is identical in Zoho, in HubSpot's WhatsApp channel, in WaBulkSend, and in a raw Cloud API call you write yourself.
Which Zoho app does what on WhatsApp
The single most common mistake is buying Zoho CRM expecting to run WhatsApp campaigns from it.
| Zoho app | What the WhatsApp channel does | Can it broadcast to a list? |
|---|---|---|
| Zoho CRM | Conversations attached to leads, contacts, and deals. Send approved templates and fire messages from workflow rules. | No. Zoho documents that you cannot start a casual one-to-one chat, only send approved templates, and there is no campaign feature. |
| Zoho Desk | WhatsApp as a support channel under Instant Messaging. Tickets are created from incoming messages. | Yes, in a limited way. Mass action covers up to 50 contacts at a time and bulk action handles more than 50. |
| Zoho SalesIQ | A website live-chat and visitor-engagement channel. Requires a valid website URL to connect. | Yes. "Broadcast Messaging via WhatsApp" sends an approved template outbound, limited by your credit balance. |
| Zoho Marketing Automation | A marketing channel alongside email, with WhatsApp campaigns. | Yes, and this is the closest thing Zoho has to a real campaign tool. Send to a list, segment, tags, or custom criteria. |
If you already pay for Zoho One or several Zoho apps, the channel you need may well be sitting in a product you own but have not switched on. Check Marketing Automation before you buy anything new. If your Zoho footprint is CRM only and campaigns are the job, you will need either another Zoho app or a dedicated WhatsApp broadcast tool pointed at the same WhatsApp Business Account.
How to connect WhatsApp to Zoho in four steps
The flow is the same across Zoho apps: you authorize Meta, then pick your number.
Get your WABA ready
Set up a Facebook Business Manager account, verify your business, and register a dedicated phone number to the WhatsApp Business Platform.
Open the channel settings
In Zoho CRM go to Setup, then Channels, then Business Messaging. In Zoho Desk it sits under Settings, then Instant Messaging.
Authorize with Meta
Sign in with Facebook, pick the WhatsApp Business Account and phone number you want to connect. Zoho is added as a partner on your Meta account.
Add templates and credits
Submit your message templates for Meta approval and buy IM credits so messages can actually send. Then test before you go live.
One number connects to one service at a time. If your number is already live in another WhatsApp tool, you have to disconnect it there before Zoho can claim it.
What the Zoho WhatsApp integration costs
There are two layers, and confusing them is how teams end up surprised by a bill.
The first layer is your Zoho subscription. In Zoho CRM, the WhatsApp integration is supported in the trial and in all paid editions, so it is not gated behind the top tier. Edition requirements for Desk, SalesIQ, and Marketing Automation are not published in the same clear way, so check your plan before you count on the channel.
The second layer is messages. Zoho sells IM credits at 2 US dollars per credit plus a 3 percent value-added fee, and your message charges are drawn down from that balance. Underneath, Meta bills per delivered template message, by category and by the recipient's country. Meta has billed this way since July 1, 2025, replacing the old model where you paid for 24-hour conversations. Any article still describing WhatsApp pricing in terms of conversations is out of date.
Zoho does not publish a static US per-message rate card, and neither does Meta in its developer documentation, so be suspicious of any page that quotes you an exact US cent figure. Meta publishes its rates as downloadable rate cards and an interactive pricing tool instead. The practical way to budget is to count how many messages you will send in each category, then price them from Meta's current rate card. Our WhatsApp Business API pricing page walks through that method.
What you are never charged for
Non-template messages are free, though you can only send them inside an open customer service window. Utility templates delivered inside that open window are free too. And when a chat starts from a Click to WhatsApp ad or a Facebook Page call-to-action, all messages are free for 72 hours. Those free paths are the same whichever tool you send from.
The US marketing block applies inside Zoho too
If your audience is American, read this before you plan a WhatsApp campaign. Since April 1, 2025, Meta has not delivered marketing-category template messages to US phone numbers. They fail with error 131049. There is still no resume date as of July 2026. Zoho documents this restriction openly on its own pricing and help pages, which is to its credit, and Zoho Desk limits bulk actions for marketing templates accordingly.
This is a Meta policy, so it is not a reason to pick one tool over another. It hits Zoho, WaBulkSend, HubSpot, Twilio, and a raw Cloud API call identically. What still reaches US numbers: utility templates such as order and appointment updates, authentication templates, and any reply sent inside the 24-hour window. Plan American WhatsApp around those transactional flows, and see the WhatsApp bulk messaging rules for what is allowed in full, or error 131049 if you are already seeing failures.
Zoho WhatsApp vs a dedicated WhatsApp sender
An honest split, including where Zoho is the better answer.
| Job | Zoho | Dedicated WhatsApp sender |
|---|---|---|
| Chat history on the CRM record | Zoho wins. Conversations sit on the lead, contact, or deal automatically. | Needs an integration to push history back into your CRM. |
| You already run your business on Zoho | Zoho wins. One vendor, one bill, no new tool to learn. | Another subscription and another login. |
| Support tickets from WhatsApp | Zoho Desk wins. Incoming messages become tickets. | Not a help desk. |
| Send one template to a whole audience | Only in Marketing Automation, SalesIQ, or Desk. Not in CRM. | The core job. Upload a list and send. |
| Campaign analytics per send | Varies by app and is not the focus. | Delivery, read, and reply rates per campaign. |
| Scheduling and drip sequences | Workflow rules, and campaigns in Marketing Automation. | Built in, with scheduling and follow-up steps. |
| Cost model | IM credits at 2 dollars per credit plus a 3 percent fee, on top of your Zoho plan. | A subscription plus Meta's pass-through message charges. |
If Zoho is your system of record and your WhatsApp use is conversational and transactional, use Zoho's channel and stop there. If your job is campaigns, sending one approved template to thousands of contacts and seeing exactly who received and read it, that is what a WhatsApp bulk sender is built for. Plenty of teams run both: Zoho for the conversation record, a campaign tool for the send.
Zoho WhatsApp integration: common questions
Does Zoho integrate with WhatsApp? +
Yes. Zoho has a native WhatsApp channel and Zoho itself is a WhatsApp Business Service Provider partnered with Meta, so the integration runs on Meta's official WhatsApp Cloud API. Zoho CRM, Zoho Desk, Zoho SalesIQ, and Zoho Marketing Automation each have a WhatsApp channel. You connect your own WhatsApp Business Account; Zoho does not supply the phone number.
Can I send bulk WhatsApp messages from Zoho CRM? +
No. Zoho CRM supports approved templates on records and workflow-triggered messages, but it has no bulk broadcast feature. To send one template to a whole audience from within Zoho, use Zoho Marketing Automation for list and segment campaigns, Zoho SalesIQ for its WhatsApp broadcast, or Zoho Desk, which supports mass action up to 50 contacts and bulk action above that.
How much does the Zoho WhatsApp integration cost? +
Zoho sells IM credits at 2 US dollars per credit plus a 3 percent value-added fee, and your WhatsApp messages draw down that balance. Meta then charges per delivered template message by category and recipient country, passed through to you. In Zoho CRM the integration itself is included in the trial and all paid editions. Neither Zoho nor Meta publishes a static US per-message rate, so treat any exact cent figure you read with suspicion.
Is the Zoho WhatsApp integration official? +
Yes. Zoho states it is a WhatsApp Business Service Provider and has migrated its WhatsApp channel to Meta's Cloud API. That makes it a compliant, sanctioned route, unlike browser extensions and QR-scan tools that automate WhatsApp Web and violate WhatsApp's terms of service. You still need your own verified business and WhatsApp Business Account.
Do I need a separate phone number for Zoho WhatsApp? +
You need a number registered to the WhatsApp Business Platform, and registering it permanently removes it from the consumer WhatsApp and WhatsApp Business apps. So use a dedicated business number, not the phone your team already uses in the WhatsApp app. A number can be connected to only one service at a time, so disconnect it elsewhere before connecting it to Zoho.
Can Zoho send WhatsApp marketing messages to US customers? +
Not marketing-category templates. Meta has paused delivery of marketing templates to US phone numbers since April 1, 2025, and they fail with error 131049. Zoho documents this restriction on its own pages. Utility templates, authentication templates, and replies inside the 24-hour window still reach US numbers, so transactional WhatsApp works fine in Zoho for an American audience.
Does WhatsApp chat history import into Zoho? +
No. When you connect a number, you start from an empty channel. Conversations that happened before the connection, whether in the WhatsApp Business app or another platform, do not come across. Export anything you need to keep before you migrate a number.
Keep Zoho for the record. Use WaBulkSend for the send.
