Short answer: Yes, Zapier works with WhatsApp. The app is called WhatsApp Business on Zapier, and it requires your own WhatsApp Business Account through Meta Business Manager, so it runs on the WhatsApp Business Platform rather than the consumer app. It offers two triggers, New Message Received and New Message Status Updated, and three actions: Send Template Message, Send Media Message, and Send Freeform Message. Send Template Message works at any time. The other two only work inside the 24-hour customer service window that opens after a customer messages you first. Zapier fires one Zap per event, so it automates one-to-one conversations well and cannot run a bulk campaign to a segmented list.

Watch out for the name. Zapier also publishes a separate app called WhatsApp Notifications, which is part of its own notification tooling and only messages the account holder. If you want to message customers, the app you want is WhatsApp Business.

What you can genuinely automate with Zapier and WhatsApp

Zapier's model is one trigger, then a chain of actions, running once per event. That shape suits WhatsApp beautifully for individual conversations. A form submission on your site fires a Zap that sends a template confirming the booking. A new row in a spreadsheet fires a Zap that sends a reminder. A customer replies on WhatsApp, the New Message Received trigger fires, and Zapier creates a task in your project tool and posts the text into Slack. None of that requires code, and it is the reason Zapier is the right first automation layer for a small team.

Where it stops is volume and audience. A Zap fires per event, and Zapier counts every completed action as a task. Its free plan includes 100 tasks a month, unlimited Zaps, two-step workflows, and a 15-minute polling interval on polling triggers. Sending a campaign to 4,000 contacts is 4,000 tasks and there is no action that accepts a list. People try to fake it with a looping step over a spreadsheet, and it works until it does not: no throttling, no per-recipient personalization at scale, no delivery dashboard, no retry on a failed template, and a bill that scales with every message.

The other constraint comes from Meta rather than Zapier. WhatsApp will not let a business start a conversation with free-form text. Outside the 24-hour customer service window you may only send an approved template, which is why Send Template Message is the only action with no window restriction. Zapier documents this plainly: when the window is closed, you can only send template messages. Anyone promising you unrestricted WhatsApp sending through a Zap is describing something Meta does not allow.

Set up Meta Business Manager

Zapier connects to a WhatsApp Business Account, so you need a Meta Business Manager account first. The consumer WhatsApp app and the free WhatsApp Business app cannot be connected.

Register a number to your WABA

Add a phone number to the WhatsApp Business Account and get your display name approved. The number leaves the WhatsApp Business app once you register it to the platform.

Authorize the WhatsApp Business app

In Zapier, add the WhatsApp Business app and run the connect flow. You log in to Meta and pick the business profile and the registered number the Zap should send from.

Collect opt-in, then build the Zap

Zapier requires opt-in consent from recipients, and so does Meta. Choose your trigger, add Send Template Message, and map the template variables to fields from the trigger step.

Make, n8n, or a direct API call

Zapier is not the only automation layer with a WhatsApp Business Cloud connector. Make offers the same kind of modules and bills by operation rather than by task, which usually works out cheaper once a single workflow performs several steps per run. n8n ships a built-in WhatsApp Business Cloud node covering message sends and media upload, download, and delete, and it bills per workflow execution rather than per step. Its community edition is free if you are willing to host it yourself.

We are not going to publish a head-to-head dollar comparison, because all three vendors revise their tiers and the honest answer depends entirely on how many steps your workflow runs. What does not change between them is the WhatsApp layer underneath. Every one of them still needs a WhatsApp Business Account, still requires an approved template to open a conversation, and still respects the 24-hour window. Switching automation tools does not buy you a way around Meta's rules.

If you are comfortable writing a little code, you can skip the automation layer entirely and post straight to the Graph API messages endpoint from your own backend. That removes the per-task cost, gives you retries and error handling on your terms, and is the route most teams end up on once WhatsApp becomes load-bearing. What a US business can actually send from a Zap

This catches people out and it has nothing to do with Zapier. Since April 1, 2025, Meta has not delivered marketing-category template messages to United States phone numbers. Build a Zap that sends a promotional template to a US customer and it fails, returning error 131049 through the Cloud API. Meta has given no date for lifting the pause.

Utility templates deliver to US numbers exactly as you would expect. Appointment reminders, order and shipping updates, payment confirmations, renewal notices, anything tied to a transaction the customer initiated. Authentication templates for one-time passcodes deliver too. And every freeform reply you send inside the 24-hour window is both deliverable and free, which is precisely the scenario Zapier's Send Freeform Message action is designed for.

So the practical Zap for a US business is: customer messages you, New Message Received fires, and you reply with Send Freeform Message inside the open window at no message cost. Or an event in another app fires and you send a utility template. Zapier has no native WhatsApp scheduler. The usual workaround is a Schedule by Zapier trigger that runs at a set time and then calls Send Template Message, or a Delay step inserted before the send. Both consume tasks per message, which gets expensive at volume, so a scheduled campaign is better run in a dedicated sender.

What is the difference between WhatsApp Business and WhatsApp Notifications on Zapier? +

They are unrelated apps. WhatsApp Business connects to your WhatsApp Business Account and messages your customers. WhatsApp Notifications is part of Zapier's own notification tooling and only sends messages to you, the account holder. If you want to reach customers, you want WhatsApp Business.

Can Zapier send bulk WhatsApp messages? +

Not meaningfully. There is no Zapier action that accepts a list of recipients, so a bulk send means one Zap run and one billed task per contact, with no throttling, no campaign-level delivery reporting, and no automatic retry on a failed template. For a segmented campaign, trigger it from a Zap but send it from a WhatsApp bulk sender.

Does Zapier work with the WhatsApp Business app? +

No. The free WhatsApp Business phone app has no public API and cannot be automated by anything. Zapier requires a WhatsApp Business Account on the WhatsApp Business Platform. Registering a number to the platform removes it from the WhatsApp Business app, so pick a number you are willing to migrate.
