The short answer: Excel to WhatsApp tools fall into four categories, and the category matters far more than the brand. Official WhatsApp Business API platforms send through Meta and put your traffic on a sanctioned footing. Browser extensions drive your own logged in WhatsApp Web session and cost less per message because Meta never sees the traffic as business traffic. Assisted senders open each chat and make you press send. Do-it-yourself macros break on every WhatsApp update. Pick the category first, then the vendor.

What the named tools actually do

SheetWA is the most honest of the extension tools about what it is. Its Excel page states that it "works with your existing WhatsApp Web session and lets you communicate from your own number," lists "No API" as a headline feature, and advertises "over 1000 messages per hour (without purchasing credits)." Nothing there is hidden. If you are one person sending to a few hundred contacts from a number you can afford to lose, that description tells you exactly what you are buying.

WASheet is a browser extension that says it "works directly in your browser" and emphasizes being free with no per message fees. What its tool page does not say is whether it drives WhatsApp Web or calls an API, and we are not going to guess on your behalf. If you are evaluating it for business use, that is the first question to put to their support, because the answer decides everything about your exposure.

Privyr takes the third route, and it is worth understanding because it is the compromise most people never consider. Its bulk flow requires you to "click the SEND button for each recipient. Each click will automatically open your WhatsApp chat with that specific person. You only need to click send on WhatsApp to confirm the sending." Slower, obviously. But Privyr's own guide explicitly warns against "unauthorised automations, such as one-click send-to-all bulk senders," which is a competitor in this exact market making the same point we are.

The API platforms are the category rather than one product: any vendor that puts your own WhatsApp Business Account on Meta's Cloud API. They cost more per message, they make you get templates approved, and they make you do business verification. Those three frictions are what you are paying for.

Why the cheap route is only cheap until it isn't

The extension tools have a real advantage and it deserves to be stated plainly: no per message fee, no template review, no verification, running in ten minutes. On a list of two hundred, the API route's overhead is genuinely disproportionate.

The counterweight is in WhatsApp's own Business Terms, which state that a company must not, directly or through automated means, "develop or use any applications that interact with our Business Services without our prior written consent." An extension driving a WhatsApp Web session is an application interacting with WhatsApp. We cannot verify from the outside whether any particular vendor holds consent, and none of the ones we looked at publish evidence that they do. What is not in doubt is where the consequence lands. The vendor keeps its subscription; you lose the number your customers have saved.

That asymmetry is the whole decision. If WhatsApp is a side channel, take the cheap route knowingly. If your inbound support, your order updates or your booking confirmations run through that number, the arithmetic changes completely.

Clean the list before you compare prices

Whichever category you land on, the spreadsheet decides your results more than the tool does. Two problems account for most failed sends. The first is formatting: Excel strips a leading plus and drops leading zeros unless the phone column is set to Text, so a column that looks fine on screen uploads as garbage. Every number needs to be in E.164, meaning the plus, the country code, then the number, with no spaces or parentheses.

The second is that most exports contain rows you should not message at all. Before you pay per message, it is worth interrogating the file properly: which rows actually consented, which are duplicates of the same person under two formats, which bought so long ago that a message would read as a cold approach. A raw CRM export rarely answers that in a pivot table, and running plain English questions against your own data is a faster way to find out which rows are worth messaging than filtering by hand. Cutting a 12,000 row file to the 3,400 rows with a real opt-in is usually a bigger saving than any per message discount you will negotiate.

The US question every one of these tools shares

No vendor in this market advertises it, so here it is: Meta paused delivery of marketing category templates to US phone numbers on April 1, 2025, and the pause still stands with no published resume date. The API returns error 131049. This is a platform rule, so it applies identically across every tool on this page, and switching vendors does not route around it.

What still delivers to US numbers is utility templates (order shipped, appointment tomorrow, invoice ready), authentication templates, and free-form replies inside the 24 hour window after a customer messages you. So a US business planning an Excel broadcast needs a transactional reason to write, not a promotional one. That is a narrower lane than the marketing pitch on most of these sites implies, and it is better to know before you buy than after. How to choose in one pass

Answer three questions in order. Is the number you would send from one you can afford to lose? If no, the extension category is out regardless of price. Is the message transactional or promotional? If promotional and your list is US, no tool on the market can deliver it today. How many rows, and how often? Under a few hundred once, an assisted sender is fine and costs nothing per message; anything recurring or above your comfort threshold for manual clicks needs the API.

One more thing worth checking before you commit: your row count is not your send limit. A new business number on the API starts at 250 unique contacts per rolling 24 hours and climbs through 1,000, 10,000 and 100,000 as your quality rating holds.
