In the United States there is one rule that shapes the entire playbook: Meta has paused marketing template delivery to US numbers since April 2025, so American teams sell inside the 24-hour window a prospect opens by messaging first, plus utility templates like demo confirmations and quote reminders.

Most sales teams discover WhatsApp by accident. One rep starts messaging a prospect there because they reply in four minutes instead of four days, it works, and six months later the pipeline lives on someone's personal phone. This is the version that scales instead.

Step 1: Put the team on one company number

The single decision that separates a WhatsApp sales program from a habit is whose number it is. When reps use their own, the company owns nothing: not the thread history, not the contact list, not the relationship. When the rep leaves, so does the pipeline.

Register one business number on the official WhatsApp Business Platform. If you already run a number on the WhatsApp Business app and do not want to lose your existing chats, connect it through coexistence, which lets the app and the API run on the same line at the same time. Step 2: Never build on an unofficial sender

Step 4: Route the chat to an owner within seconds

Percentage of inbound chats with an assigned owner, because unassigned equals lost. Reply rate on your follow-up templates, broken down by template, so you can kill the ones that get ignored.
